Processing Domestic and Canadian Payroll in ADP/ADP 401K Plan Administrator:
Collaborate with our Human Resources Department to process bi-weekly payroll in ADP for US headquarters and Canadian Employees. Process monthly Chinese payroll and India consultant payment.
Perform detailed review and approval of the remote Payroll Accountant’s bi-weekly payroll for other US locations-primarily for our Distribution warehouse and Call Center, which includes processing with the Time and Attendance module in ADP.
Ensure bi-directional cross-training between both payroll roles to provide for adequate backup support.
Partner with Human Resources to implement and maintain effective employee onboarding, termination and payroll change processes.
Update payroll records by processing status changes, tax updates, and direct deposit elections. Process payroll amendments as needed for US and Canadian payroll.
Adhere to internal control processes when initiating, recording, summarizing and reporting payroll transactions.
Create and process HSA and FSA uploads for bi-weekly payroll.
Setup new US and Canadian tax jurisdictions for payroll.
Perform all functions of 401k Plan administrator, including approval of participant actions (rollovers, loans, etc), distribution of required disclosures, review of Form 5500 and participation in Investment Committee meetings.
Point of contact for 401k audits, State tax audits, Canadian audits, Workers Comp audits and semi-annual financial reporting audits.
Must meet deadlines and correct payroll errors timely.
Manage, motivate and develop staff--Payroll Accountant.
General Accounting and Reconciliations:
Reconcile payroll and other assigned accounts including, but not limited to, compensation expense accounts, payroll clearing, bonus accrual, PTO/vacation accruals. Other reconciliations include Ohio / Washington worker’s compensation.
Prepare bi-weekly payroll journals for posting. Perform year-end tasks including tax adjustments, employer healthcare coverage reporting, etc for US and Canadian reporting.
Responsible for month-end reporting including headcount, bonus, PTO, benefit accruals.
Provide ad hoc reporting for internal tax and other departments as requested, and perform other general accounting duties as assigned.
Minimum 6 years of high-volume and in-house payroll processing using ADP required.
Experience with time and date entry payroll processing required.
A strong understanding of best practices related to payroll processing and the ability to multitask and work with minimal supervision.
Strong communication skills and ability to work well across both functional groups and all levels of employees and management.
Strong attention to detail to ensure accuracy and completeness.
Displays absolute discretion in performing duties and handles all information and documentation with strict confidentiality.
General ledger experience, with focus on payroll-related journal entries, required.
Great Plains experience a plus.
BA/BS Accounting, Finance, Business Administration or related field.
