We are passionate about realising the power of epigenetics by pioneering new biomarker discoveries and therapeutics and we are looking for a forward thinking, enthusiastic, make-it-happen Business Support Officer.
We recently relocated to our new Head Office in Chesterford Research Park, and your role is vital in ensuring that our office portrays a professional, vibrant workplace, that runs smoothly and efficiently.
Reporting into our Head of Communications, you will work closely with senior management providing secretarial and administrative support; ensuring the day-to-day running of the office is well managed and visitor-ready at all times.
You will engage with employees, customers, suppliers, business stakeholders and other external parties in a collaborative manner where effectiveness and speed of response reflect the Company’s objective to be at the forefront of our market-sector. As first point of contact for visitors you will be an Ambassador for the Company and therefore your appearance and attire will reflect a fresh and welcoming business-like manner.
You will be an organised and competent professional with exceptional interpersonal and communication skills, enabling you to successfully operate in a business environment where confidentiality and discretion are of paramount importance. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed, with achievement of best practice top of mind.
Visitor hospitality; office management; and travel and events support
Working closely with senior management following specific briefs and directives.
Secretarial support including management of files, archiving etc. be it electronic or hardcopy. Creating systems that are practical and enable fast search and retrieval.
Organising meetings, interviews etc. in diaries.
Organising conference calls, Skype, Zoom or other tele-conferencing technologies.
Telephone management – acting as a primary point of contact, filtering calls and forwarding important/urgent calls.
Managing the front door intercom.
Providing support using Word, PowerPoint, Outlook and Excel.
Maintaining Google calendar.
Providing five-star reception capability, creating a welcoming and professional atmosphere for all visitors, mirroring the same approach through phone and email correspondence
Responsibility for office hospitality – maintenance of kitchens, meeting rooms, communal spaces and services.
Ensuring hospitality including lunches and refreshments, meeting room stationery, and that presentation and telecommunication equipment are tested and user ready.
Dressing the office for VIPs.
Sending out invitations to visitors and ensuring they have directions and other relevant information, working closely with the visitors’ host.
Advising security of visitors to gain access to the site.
Greeting visitors and ensure they are looked after until the host comes to take-over. Offering refreshments and assistance with IT equipment if visitor requires power supplies, presentation equipment, Wi-Fi access etc. Ensuring visitor signs in, wears visitor badge and is aware of health and safety on site.
Maintaining adequate stationery supplies and placing orders via the company’s Purchase Control system
Ensuring kitchen, meeting room, printer and cleaning consumables stock levels are maintained and ordering replenishments via the company’s Purchase Control system
Working closely with the Facilities Manager, overseeing maintenance and repairs of office equipment such as photocopiers and printers
Working with the Facilities Manager and Laboratory Manager, in managing the receipt of deliveries
Arranging postal and courier services as required.
Travel & Events
Supporting the Head of Communications in the co-ordination of company attendance at conferences, exhibitions and events, as required.
Supporting the Head of Communications in the organisation of town meetings, staff presentations and other employee events as required.
Co-ordinating travel and hotel arrangements for company employees.
Organising training events and ensuring room is setup, hosting trainers as necessary.
Organising company social events including Christmas and Summer events.
Qualifications and Skills
Educational certificate or degree desirable
Excellent English: written, verbal, comprehension
Competent in Microsoft Office suite
Experience of Desktop Publishing an advantage
Experience of Hospitality or Customer Services desirable
Efficient, agile, pro-active, thrives on multi-tasking without dropping the ball
